What we collect, and why
We ask for your name, email, phone number, selected home and move-in preferences to manage your application and contact you. The income step asks for an employer or business, role, and total annual salary or income. If employment does not apply, you can say so and describe another source of income or support. Zero is an accepted income amount. These answers do not create an employment requirement or an automatic approval threshold.
After the initial review, your leasing team may request previous-address information, proof of identity and a separately consented SingleKey screening. We explain the purpose at that step. Supporting documents, rental history and references help the leasing team review your application. If a document or reference is unavailable, explain your circumstances so the team can discuss an alternative. Your personal introduction is optional; share only what you would like the leasing team to know.
Do not upload your Social Insurance Number, health card, full bank account or payment card details. Hide account numbers, unrelated transactions and sensitive identifiers in supporting documents. A government ID copy is not required for the initial application.
When you choose a sign-in provider, we receive its account identifier, your name, email address and profile image if shared. We use this information to create and authenticate your NBRHOOD account. Facebook sign-in, when available, requests only your public profile and email permissions.
After an offer, we collect signed lease documents, a rent-deposit receipt, proof of tenant insurance and an emergency contact to prepare for your tenancy. Please tell your emergency contact that you are sharing their name, relationship and phone number with your property team for emergency use. These details are not shared with the neighbourhood community.
Where your information goes
Your saved contact draft and submitted answers are stored in our database. Supporting files are stored separately in private document storage. They are not part of the public listings or visible to other applicants or neighbours.

- Your chosen sign-in provider supplies your account identity and email. Facebook is available only when shown on the sign-in page.

- If invited, you complete screening directly with SingleKey, under its own privacy notice and consent process. Opening a link or submitting your NBRHOOD application does not give us permission to run a credit check.
- Resend & Sentry
- Email delivery when enabled, and technical error monitoring.
- Anthropic
- The optional staff assistant processes messages and relevant building information. Application submissions and applicant uploads are not automatically sent to this assistant.
Our service providers may store or process information outside Canada, including in the United States. Information processed there may be subject to local laws and lawful access by courts or public authorities. NBRS remains responsible for the information it asks providers to handle.
Sign-in uses essential session cookies. Basic contact and resume information can also be kept temporarily in your browser tab while you sign in. Financial answers and selected files are held in the current form until submission; they are not saved in browser storage for a later visit. Closing or refreshing the form can lose those unsent answers and file selections.
Who can access it
Authorized ownership and leasing staff can review applications for their property. Property managers receive access to tenancy and move-in information after the ownership handoff; that does not give them access to the leasing candidate review process.
Authorized technical administrators and service providers may also access information as needed to operate, secure and support the service.
Opening a supporting document requires an account access check and produces a temporary viewing link. Anyone with a still-valid link may be able to use it, so do not forward document links. Authorized staff may download documents for the stated application or tenancy purpose and must keep those copies secure.
Submission does not authorize an automatic credit check. Before obtaining a third-party credit report or contacting a reference, the team will explain the check and obtain any required separate consent. An ownership decision is made by a person.
Retention and your choices
Draft access expires after seven days. Expiry prevents you from continuing that draft; it does not automatically erase the saved contact record. Submitted application, document and tenancy records may remain for application review, tenancy administration and applicable legal or dispute-resolution needs.
You can ask for access to your personal information, a correction, withdrawal of your application, or deletion of information that is no longer needed. A request is reviewed against any remaining legal and recordkeeping requirements. Closing an application or account is not a promise that every record, download or backup has been erased.
Send a privacy request to hello@nbrs.ca with the subject “NBRHOOD privacy request.” Use the email linked to your account where possible and tell us what you need. We may verify your identity through a secure process. Please do not attach identity or financial documents to an email.
Under Canada’s private-sector privacy law, PIPEDA, access requests generally require a response within 30 calendar days, subject to permitted exceptions or extensions. You can also contact the Office of the Privacy Commissioner of Canada about your rights or a privacy concern.
